Turn a line of a note into a task, then give it a due date, a repeat, reminders, a flag, a priority, a stage and an assignee.

In Filarr, a task is a checkbox inside a note. You write it where the work comes up: in meeting notes, on a project page, in your daily note. The Tasks page then gathers the tasks of all your notes, so none gets lost.

A task is stored in its note and nowhere else. It is encrypted and synced with the note, and it follows the note if you move or share it.

Create a task

In any note, do one of the following:

  • type [ ] followed by a space at the start of a line;
  • type / and choose Task List;
  • click Checklist in the editor toolbar, or press Ctrl+Shift+9.

Each line of the list is a task. Press Enter to start the next one. Press Tab to indent a task under the one above it: it becomes a subtask. Click the box to mark a task as done.

Set a date and other options

  1. Hover over the task. A + Due date button appears at the end of the line.

  2. Click it. The Task options window opens.

  3. Pick what you need. Each choice applies at once, and the window stays open so you can set several things. Press Esc or click elsewhere to close it.

Due dateToday, Tomorrow, Next week, No date, or any day in the date field. Once there is a date, you can add a time.
DurationAppears once the task has a time, from 15 minutes to 8 hours. It sets the length of the block on the calendar.
RepeatDoes not repeat, Daily, Weekdays, Weekly, Monthly, Yearly or Custom…
RemindersAt due time, 15 minutes, 1 hour, 1 day or 1 week before, or a date and time of your choice
Add flagMarks the task as important. The button then reads Flagged.
PriorityNone, Low, Medium, High
StageTo do, In progress, Waiting. Checking the box marks the task done.
AssigneeWho the task is for. See below.

Once the window is closed, a small chip at the end of the line sums up the task: priority, flag, stage, date and time, a repeat icon, a bell when a reminder is set, and the assignee. The date stands out when the task is overdue. Click the chip to change the task again.

Repeating tasks

Choose a repeat and the task comes back on its own. If it had no due date, Filarr sets it to today.

When you check a repeating task, it does not stay done: it moves to its next date and stays open, in the note as on the Tasks page.

Custom… gives you more control:

  • Every: from 1 to 999 days, weeks, months or years;
  • On these days: for a weekly repeat, the days of the week it falls on;
  • Count from the day I complete it: the next date counts from the day you check the task, not from its due date. Handy for chores like watering the plants every three days;
  • Ends on: the last date of the series.

Reminders

A due date alone never notifies you. To be alerted, add a reminder: under Reminders, pick a moment in Add a reminder, or type a date and time and click Add. A task can have up to five reminders.

A reminder goes off while Filarr is open, in the desktop app and in the web app. You get a system notification if notifications are allowed, otherwise a Task reminder banner in the app, with Open to go to the task. If Filarr was closed at that moment, the reminder shows up when you open it again, up to 24 hours later.

Reminders only go off for tasks in your own notes. In a note of a shared vault, the window still offers them, but they never ring.

Assign a task

The Assignee section only shows when there is someone to choose:

  • in a personal note, with a cloud account, you can assign the task to yourself (Nobody removes the assignment);
  • in a note of a shared vault, you can pick any member of the vault. They are told in their inbox. See Work together in a vault.

With a local profile, there is no one to assign, so the section stays hidden.

Tags in a task

Write #word in the title of a task, for example "Call the printer #work". The word stays in the title and acts as a tag: the Tasks page can filter on it.

Unfinished tasks in daily notes

When you create today's daily note, Filarr copies the tasks left unchecked in your previous daily note under a Carried Over heading. See Daily and periodic notes.
