Profiles and several accounts

Keep separate spaces with profiles, protect each one with a PIN, and use several Filarr accounts on the same computer.

A profile is a separate space with its own files, notes and settings. Several people can share a computer with one profile each, or you can keep personal and work life apart. A device holds up to 10 profiles.

Choose a profile

When a device has several profiles, Filarr opens on Who's using Filarr?. When the profiles belong to several groups, the picker sorts them: one group per cloud account, showing its email address and plan, and a Local group for profiles with no account.

  • Click a profile to open it. If it has a PIN, enter it.
  • A dot on a profile linked to an account shows its sync status, for example Sync up to date or Sync paused.
  • With many profiles, use the search box to find one by name or email address.

With a single profile, Filarr opens it directly.

To change profile later, click your avatar at the top right, then Switch profile. The same menu lists your other profiles for a one-click switch; a profile with a PIN goes through the picker.

Create a profile

  1. On Who's using Filarr?, click New local profile.
  2. Enter a Name (50 characters at most) and pick a Color.
  3. To lock the profile behind a PIN, turn on PIN protection and enter a PIN of 4 to 6 digits twice.
  4. Turn on Allow PIN reset if you want to be able to reset a forgotten PIN.
  5. Click Create.

The new profile is local: its data stays on this device, with no account. To sync it, open it and turn on sync, as described in Create an account and turn on sync.

Manage your profiles

On Who's using Filarr?, click Manage profiles. Each profile has small buttons:

  • Edit (pencil): change the name and color, then click Save.
  • Remove PIN, shown when the profile has a PIN and Allow PIN reset is on: enter the current PIN to remove the protection.
  • Delete (trash can, shown when there are at least two profiles): type the profile's name, then click Delete profile. If the profile has a PIN, Filarr asks for it first. The profile and its synced data are deleted from this device and from your cloud account. Your other devices keep the copy they already hold.
  • Reset profile (shown when only one profile is left): type its name, then click Reset permanently. Every profile on this device is erased and Filarr starts over as on the first launch. Your cloud account is untouched: what is synced there comes back at your next sign-in.

Badges tell you more about each profile:

The In the cloud only section lists profiles that exist on your account but not on this device. Delete from cloud erases one of them and its synced data. Devices that hold a local copy keep it.

Name, photo and PIN of a profile

Open the profile, then go to Settings → Account & Sync and click the Profile card, or choose Profile in the avatar menu. There you can change:

  • the Display Name, the Avatar Color and the photo (Change photo, Remove photo), then click Save changes;
  • the PIN, under PIN Lock: Set up a PIN, Change PIN or Remove PIN, and the Allow PIN reset option.

The PIN is asked each time the profile opens. It encrypts nothing: only an encryption password protects your files. If you forget the PIN, click Forgot PIN? on the PIN screen of the profile picker, then enter your encryption password in Reset PIN. Filarr removes the PIN and offers to set a new one. This only works if Allow PIN reset was on and the profile has an encryption password. For a profile linked to an account, the encryption password is your account password.

The Display name row of Settings → Account & Sync is a different setting: it is the name members of your shared vaults see instead of your email address.

One profile, one account

A profile linked to an account belongs to that account only. You can't move it to another account: Filarr would tell you which account it is linked to. To use another account, add it from the profile picker, as described below.

Several accounts on the same computer

  1. On Who's using Filarr?, click Add a cloud account.
  2. Sign in, or create an account.

The profiles of that account appear in their own group. If the account has several profiles, Filarr lets you pick the one to open.

When the picker shows groups, the menu of each account group offers Manage devices, Go to account settings and Disconnect all profiles of this account. Disconnecting keeps your local data.
