Organize your notes

Sort notes into notebooks, pin the important ones, sort and search the list, act on several notes at once, attach a note to a folder, and use the notes trash.

Links already tie your notes together. Notebooks, pins and sorting add a second way in: a place for each note, and the important ones always on top. This article covers everything that happens in the list of notes.

The Browse screen

Click the back arrow at the top of the list (Browse) to see the overview of your notes.

You find there, when they have something to show:

  • Recent: the last notes you opened;
  • Pinned: the notes you pinned;
  • Notebooks: All Notes, Unfiled (the notes attached to no folder, daily notes aside), then your notebooks with their number of notes;
  • Trash: the notes you deleted;
  • Conflicts to resolve: two versions of a note that sync could not merge, see Sync conflicts.

Click an entry to show its notes in the list.

Notebooks

A notebook groups notes on one subject: a client, a course, a project. A note belongs to one notebook at most.

Create a notebook

  1. On the Browse screen, click + next to Notebooks (New Notebook).
  2. Type its name and press Enter.

File a note in a notebook

  • Right-click the note, choose Move to..., then the notebook. No notebook takes it out.
  • Or drag the note from the list onto the back arrow: the Browse screen opens, and you drop the note on the notebook.

Nest, change and delete notebooks

  • Hover a notebook and click New notebook inside this one, or drag a notebook onto another one.
  • Right-click a notebook: the Edit Notebook window opens, where you change its name, its Color and its Icon.
  • Hover a notebook and click Delete Notebook. The notebook goes away at once, with no confirmation and no trash. Its notes are kept: they only leave the notebook. Its sub-notebooks move up one level.

Pin a note

Hover a note in the list and click the pin, or right-click it and choose Pin. Pinned notes always come first in the list, and appear under Pinned on the Browse screen. Unpin puts the note back in the normal order.

Sort the list

The button above the list shows the current order. Click it to go through Modified, Title, Created, Words and Custom order. The arrow next to it reverses the order. Filarr remembers your choice.

With Custom order, drag the notes into the order you want. The arrow has no effect in this order.

The button after the arrow switches the list to a Tree View. Avoid dragging notes in the tree: a note dropped there leaves the folder it was attached to.

Type in Search notes... at the top of the list. Filarr looks for what you type in the titles and in the text of the notes, in the notebook you are looking at. If the note is elsewhere, click Search all notes above the results.

To search your notes and your files together, use the search of the top bar: see Find anything.

Act on several notes at once

  1. Click the checkbox button at the right of the search box (Multi-select).
  2. Tick the notes, or click All.
  3. Choose an action: Pin (pins or unpins the selection), Add to vault (when a shared vault is unlocked) or Delete.

Deleting asks for a confirmation, then sends the notes to the trash.

The menu of a note

Right-click a note in the list for:

  • Pin or Unpin, Open in new tab;
  • Duplicate, which creates a copy with "(copy)" after the title;
  • Copy as Markdown, to paste the note elsewhere as plain text;
  • Save as Template (see Templates) and Export (see Version history and export);
  • Add a reminder (see Reminders and timeline);
  • Move to..., to change its notebook;
  • Add to shared vault…, with a cloud account and shared vaults (see Shared vaults).

Attach a note to a folder

A note can also sit in a folder of your files, next to the documents it talks about. In the right panel, open the Folder list and choose the folder. The note then shows as a card in that folder. None (root) detaches it.

Tags

Notes get their tags from Suggested Tags, in the right panel. Filarr reads the words of the note on your device and suggests up to five keywords. Click + on a suggestion to add it as a tag. The note's tags are listed under Tags: click the × of a tag to remove it.

The notes trash

A deleted note goes to the notes trash. Right after the deletion, the Undo button of the message brings it back.

Later, open Trash on the Browse screen. The Notes trash window lists the deleted notes:

  • Restore puts a note back where it was;
  • Delete deletes it for good, after a confirmation;
  • Empty trash, then Confirm: delete all, deletes them all for good.
