Create or join an organization

Set up a Filarr organization for your team or join one by invitation, and move between your personal and work spaces.

An organization is how a team uses Filarr together: shared vaults for the team, an admin console, and one subscription paid per seat. It lives in its own enterprise space, with its own account, apart from your personal files.

This article covers the member side and the first steps of an owner. To run the organization once it exists, see Run your organization.

Two separate spaces

Filarr has a Personal space and an Enterprise space. Each one has its own accounts and its own profiles.

  • The personal space holds your own files and notes, on this device or synced with a personal account.
  • The enterprise space holds your organization account, your team's shared vaults and the administration.

The separation is deliberate. It keeps private data out of the work context, and work data out of your private life. So you get a distinct organization account, even if you already use Filarr personally, and a personal account cannot join a company's space. Nothing passes from one space to the other.

When you are in the enterprise space, the top bar shows an Organization badge next to the logo.

Create an organization

You can create it during the first launch, or later from the enterprise space. Either way, you become its owner.

During the first launch

  1. On For you, or for your organization?, choose Enterprise / Team.
  2. On Welcome to your organization space, choose I do not have one yet. If you already created an organization account on filarr.com, choose I already have an organization account.
  3. Create your organization account: email address, password, the 24-word recovery phrase and the email check. The steps are the same as for a personal account, see Set up Filarr the first time.
  4. On Your organization, choose Create an organization, type its name, then click Continue.

The last screen says your organization is ready and lists what is left, in this order: Subscribe, Create the organization key, Invite your team.

From the enterprise space

If you chose Skip for now during setup, or created your account on filarr.com:

  1. Open the enterprise space (see Switch between spaces).
  2. In the sidebar, click Organization. The page says You do not belong to any organization.
  3. Under Or found your own, type the organization name.
  4. Click Create.

Subscribe before you invite

A new organization grants nothing until it has a subscription: no invitations, no team vaults, no pooled storage. The server refuses invitations sent before that. You can still prepare members, roles and policies in the console.

The subscription is per seat, with a minimum of three seats:

Viewers are free and never take a seat. You subscribe from Organization → Billing: the payment page opens in your browser. The details are in Run your organization.

Join an organization by invitation

Your administrator invites you by email and chooses your role. To accept, you need an organization account signed in with the address that received the email. A personal account cannot accept it: Filarr says the invitation is for a work account.

You can accept in three ways:

  • Open the link in the email. A Filarr page takes you to the web app with your invitation, and offers to open the desktop app if it is installed. Filarr shows You have an invitation: click Accept invitation.
  • If the desktop app does not open, copy the full link, then paste it in Settings → Account & Sync → I have an invitation and click Continue. The code alone also works there.
  • During the first launch of the enterprise space, on Your organization, choose Join an organization and paste the Invitation code.

An invitation expires after 7 days. If yours has expired, ask for a new one. Joining costs you nothing: the organization pays for your seat.

Switch between spaces

You can move from one space to the other without typing your password again.

  • Avatar menu (top right): if you have no profile in the other space yet, click Open my work space or Open my personal space. Otherwise, your profiles from the other space are listed under Your other space: click one to switch.
  • Profile picker: click Change space.
  • At launch: when you have profiles in both spaces, Filarr asks you to Choose your space. With a single space in use, it opens directly.

If your account belongs to several organizations, pick the one you work in with Settings → Account & Sync → Active organization.

Hide the enterprise space

If you never use it, turn on Settings → Appearance → Hide the enterprise space. Filarr then stops offering the Enterprise choice at startup and opens your personal space directly. Turn it off to see the enterprise space again. Nothing is deleted either way.

When an organization closes

Only the owner can delete an organization, from Organization → Settings → Delete organization. The closure is not immediate:

  • The subscription is canceled and members are told by email.
  • For 30 days, everything stays read-only and nothing is destroyed.
  • During those 30 days, an owner can open Organization and click Cancel the closure.
  • After 30 days, the organization, its vaults and its audit log disappear.

A stopped subscription does not delete the organization: it becomes read-only until someone subscribes again. See Run your organization.
