Work together in a vault

Write in a shared vault note at the same time as others, mention a member, assign tasks, comment, and know what happens when two people save at once.

A note in a shared vault is a live document. Several members can write in it at the same time, each on their own device, and see each other's changes as they type. You can name a member in the text, give them a task and discuss a passage in the comments.

This article follows Alex and Jordan, who prepare a workshop in Lisbon in the note "Lisbon workshop agenda" of their vault "Lumen project". Alex works in the desktop app, Jordan in the web app. To put a note into a vault, see Shared vaults.

Open a vault note

Double-click the note in the vault. You can also find it in Notes, in the Shared vaults section.

The note opens in the editor. Above the title, a link brings you back to the vault, for example ← Lumen project. At the top right, Filarr says where the note stands, for example Saved to the vault, next to Close.

Write at the same time

A bar under the title shows the members who have the note open, with their avatars, and the state of the connection:

One device saves the note to the vault for everyone. The bar tells you which: Saving from this device, or Another member is saving. You have nothing to do about it: keep writing.

A note can be open live on up to 32 devices at once. A viewer follows the note live, in read-only mode.

Some slash commands aren't offered in a vault note, because they point to your personal notes, which the other members can't see: Link to note, Embed note, Page, Vault note and Dataview. For the same reason, a link to one of your personal notes doesn't open for the other members. You can't create sub-pages in a vault note, and the sub-pages of a note you copied into a vault don't follow it: the other members see them as Deleted page.

Mention a member

  1. Type @ followed by the start of a name, for example @Jor.

  2. Under People, choose the member.

The name appears in the text as a chip, for example @Jordan Lee. The list only offers the members of this vault.

A mention shows everyone reading the note who is concerned. To hand a piece of work to someone and have Filarr tell them, assign them a task, as below.

Assign a task

  1. Create a task: type [ ] followed by a space at the start of a line, then its title. Alex writes "Book the meeting room".

  2. Hover over the task and click + Due date. The Task options window opens.

  3. Under Assignee, choose the member. You can type in Search people… to find them. Nobody removes the assignment.

  4. Set a due date if you like, then press Esc or click elsewhere.

A chip at the end of the task sums it up: here the date and Jordan's name.

Jordan is told in his inbox: Alex Morgan assigned you a task, with the name of the note and of the vault. See Contacts, inbox and mentions.

On the Tasks page, the tasks of a vault carry a chip with the vault's name, and the members see each other's changes. A task assigned to you also shows in My tasks and Today. Deleting a vault task deletes it for every member. Tasks and The Tasks page explain the rest.

Comment

  1. Select the words you want to comment on.
  2. Click Comment, under the text of the note.
  3. Type your comment, then press Enter or click Comment again.

The comments of the note appear in a Comments panel. On each one, you can Reply, Resolve or Reopen, React with an emoji, or Delete it. Show resolved displays the comments already dealt with. A viewer can read the comments but can't write any.

Filarr tells the people already in the conversation, in their inbox: a reply reaches the author of the comment and those who replied, a new comment reaches those who already commented on the note, and resolving a thread reaches its participants.

Files in a vault have their own discussion too. Open the preview of a file: a Discussion section below it lets members comment on that file.

When two people save at once

Live editing avoids most clashes. When two versions still meet, for example after a member worked offline, Filarr overwrites nothing.

  • For a note, a message tells you that someone else saved it while you were editing. The two versions appear face to face: pick, difference by difference, what the note keeps, then click Save the merged note.
  • For a file you were replacing, Filarr says Someone changed this file at the same time, and offers Overwrite with my version, Keep both or Download theirs.
